Practical terms for using the Horsell Runners website and members area.
About these terms
These terms apply when you use the Horsell Runners website and members area. Horsell Runners is an informal UK community running group. Questions about these terms can be sent to runners@willhouston.co.uk.
Our handling of personal data is described in our Privacy Policy.
Using the website
The public website provides club information, run and walk details, routes, races, blog content, weather and sunrise/sunset information, and links to other services. It is provided on a best-efforts basis. We may change, correct, suspend, or remove features and content when reasonably necessary. We cannot guarantee that the website, its information, or third-party services will always be available, complete, accurate, or current.
Important session, route, race, weather, and travel details should be checked before you set off. The specific published details for a session take priority over general website copy.
Running, walking, and route information
Running and walking involve inherent risks. You are responsible for deciding whether you are fit and able to take part, taking suitable precautions for weather, terrain, traffic, darkness, road and path conditions, and following applicable highway, access, and safety rules. Website information is not medical advice. Seek appropriate professional advice if you have concerns about participating.
Routes, distances, meeting points, timings, maps, and external route links are provided for convenience. They may be approximate, contain errors, become outdated, or be affected by closures, access changes, or third-party availability. Use your own judgement on the day. Forecasts and sunrise/sunset information are indicative only and must not be your sole basis for a safety decision.
Races, events, and external activities
We may list external races and events to help members find activities. Listing an event does not mean Horsell Runners organises, controls, endorses, or guarantees it. Dates, distances, entry availability, prices, eligibility, cancellations, refunds, and safety rules are matters for the relevant organiser.
Sharing plans on the members area does not enter you into an event or reserve a place. Adding an event does not register anyone with an organiser. Check the organiser's website, terms, and requirements directly.
Members area accounts
Access to the members area is for the Horsell Runners community. Sign up and sign-in use Auth0 with a verified email address. New accounts await administrator approval before members-area access is available. Access to the members area is not a paid service and does not by itself create formal club membership or event entry.
Use only your own account, keep your account and sign-in access secure, and do not share access with another person. Provide accurate information where reasonably required, and do not try to access restricted or administrator features without permission. You may update your first name, last name, and optional Strava profile link through your profile.
Administrators may revoke or restore members-area access, and grant or remove administrator roles, where reasonably necessary to operate and protect the community and website. We may suspend access where needed to address misuse, security concerns, or serious breaches of these terms.
Member content and conduct
Members can share event plans, propose events, and add Where In The World entries. You remain responsible for what you submit and retain ownership of your content. By submitting it, you give Horsell Runners a non-exclusive licence to store, display, reproduce, and process it as reasonably necessary to operate and promote the Horsell Runners website and community. This licence ends where reasonably possible when the content is removed.
Only submit information you have the right to share. Do not submit unlawful, abusive, discriminatory, deliberately false or misleading content; material that infringes another person's rights; another person's personal information without permission; or malicious code.
Where In The World entries are visible to authenticated members and can include your name, selected map location, optional event/date, and Strava activity link. The site does not continuously track your location. Do not submit an entry unless you are comfortable sharing that information with other members.
We may take reasonable steps to correct obvious errors, decline proposed races, hide or remove race information, or handle removal requests for other data-driven content where necessary to protect the website or community. Contact us if you need content removed.
Images and intellectual property
Website content and third-party material remain owned by their respective owners. Do not submit photographs, race images, text, or other material unless you own it or have permission or another lawful basis to use it. Administrators may add, replace, or remove approved-host race-image URLs, but an approved host does not itself prove permission to use an image. We may remove material following a legitimate rights-holder request.
Acceptable use
Do not interfere with the website; probe or bypass security or access controls; access administrator functions without authorisation; use another person's account; impersonate another person; introduce malware; scrape the site excessively; or use information about other members for spam, harassment, or unrelated commercial purposes.
Third-party services and links
The website links to or may use services including Auth0, Google Groups, Ocho Branding, OpenStreetMap, PlotARoute, Strava, race organisers, social platforms, weather providers, and privacy-enhanced YouTube embeds. These services are separate from Horsell Runners, have their own terms and privacy policies, may change or become unavailable, and are not under our control. A link does not necessarily mean endorsement.
Strava links are supplied by members; we do not use the Strava API or control the availability or visibility of Strava content. Ocho Branding handles merchandise sales, payment, orders, cancellations, refunds, fulfilment, and related customer matters directly. Horsell Runners is not a party to those transactions.
Liability
Nothing in these terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence where applicable. Subject to that, Horsell Runners is not responsible for loss arising from reliance on website information, third-party services, or external events, except to the extent required by law. This does not affect rights you may have that cannot be excluded by law.
Changes to these terms
We may update these terms when the website or community practices change. We will publish the current version on this page and update the date above. Where a change is material, we will communicate it reasonably where appropriate.
Governing law
These terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory rights that apply to you.
